How to Document Water Damage in Miami for an Insurance Claim
Proper documentation is the difference between a settled claim and a disputed one. Miami’s insurance environment — Citizens policy reforms, AOB elimination under SB 2A, and aggressive insurer denials — makes thorough documentation more important here than in most U.S. markets.
What documentation does a Miami water damage insurance claim require?
A complete claim file includes: dated photos and video with timestamps showing affected areas and the water source before any remediation; a written description of the event with date and time; all moisture meter readings and psychrometric logs; the restoration contractor’s scope of work in Xactimate format; and receipts or estimates for all mitigation actions taken. Missing any of these gives the adjuster leverage to reduce or deny the claim.
Complete Water Damage Documentation Checklist for Miami Claims
Use this checklist before, during, and after water damage restoration to build a claim-ready documentation file.
- Immediately: Photograph and Video the Source
Film the water source actively (leaking pipe, water entry point, overflowing fixture) before shutting it off. This establishes cause and is the most important single piece of evidence.
- Date-Stamp All Photos
Use your smartphone’s native camera (it embeds metadata including date, time, and GPS coordinates). Screenshot-based photos lose this metadata. Take photos of every affected room, corner, and material contact zone.
- Document All Affected Materials
List flooring type, wall finish, ceiling type, and any contents in each room. Note what was there before — insurers dispute scope based on what was “pre-existing.”
- Preserve Moisture Readings Log
DRY MASTERS provides a daily psychrometric log with equipment placement, temperature, relative humidity, and structural moisture content readings. This is the proof that IICRC S500 drying standards were met — without it, insurers can dispute whether drying was necessary at all.
- Request Xactimate Scope of Work
Xactimate is the industry-standard estimating software adjusters use. A restoration scope written in Xactimate format makes line-by-line comparison possible and reduces adjuster disputes. DRY MASTERS produces Xactimate-formatted documentation as standard.
- File with Your Insurer Immediately
Florida law does not specify a claim reporting deadline, but Citizens and most private carriers require “prompt notice.” Waiting weeks to file gives the insurer grounds to argue that delayed reporting caused additional damage — which they may attempt to exclude.

Water Damage Documentation FAQs
Can I start cleanup before the insurance adjuster comes?
Yes — and in Miami’s humidity, you should. Florida courts and Citizens Property Insurance both recognize that property owners have a duty to mitigate further damage, which means you should extract standing water and begin drying immediately. What you must NOT do is throw away any damaged materials before the adjuster documents them. Stack damaged flooring, drywall, and contents in a protected area for adjuster review. Restoration and adjuster visit can happen simultaneously.
What does “Xactimate” mean and why do I need it?
Xactimate is the estimating software used by virtually all Florida property insurance adjusters. It prices labor and materials by zip code and line item — meaning your restoration scope and the adjuster’s estimate are literally in the same format, which makes disputes line-specific rather than total-number arguments. A restoration contractor who cannot produce Xactimate-formatted documentation puts you at a negotiating disadvantage.
My insurer denied my water damage claim in Miami. What now?
Under Florida law (post-SB 2A, effective January 2023), you can no longer assign your rights to a contractor. But you can still: (1) request a written denial with the specific policy exclusion cited; (2) invoke the policy’s appraisal clause for disputes about the scope amount (not coverage); (3) file a complaint with the Florida Department of Financial Services; (4) consult a Florida property insurance attorney. The documentation DRY MASTERS produces is specifically structured to support the appraisal process and attorney review.
